Smooth Operator: your org copilot

Smooth Operator is the assistant built into every Smoo AI dashboard. Open it from the sparkle button in the top bar, or press ⌘K and start typing.

It is not a search box. It holds the same tools you do — so "who did I meet last week and did I follow up?" is one question, not four screens.

It only ever sees what you are allowed to see. Your role decides its tools, so two people in the same org can ask the same question and get different answers, correctly.

How to

    Open Smooth Operator from the top bar, or press ⌘K.

    Ask in plain language — no syntax, no tool names.

    Tap one of the suggested chips if you want to see the shape of a good question.

    @-mention a contact, company or deal to point at a specific record.

    Mentioning is more reliable than describing — it passes the record id instead of making the agent search by name.

  4. 4

    Drop a file, a photo of a business card, or a pasted CSV straight into the composer.

    Cards become contacts, CSVs become an import preview, documents get stored and can be indexed on request.

    Confirm anything destructive.

    Sending email, creating calendar invites, importing contacts and changing roles all stop and ask first. Nothing sends without you.

If something goes wrong

"I can't see your CRM" — but you can see it in the sidebar.
Your role is missing the CRM read permissions, or a `product.*` gate on your role excludes CRM. Ask an admin to check Settings → Roles & Permissions.
It can't find an email you know exists.
On Google, Smooth Operator searches only mail already synced to a CRM contact — not your whole Gmail. Microsoft 365 searches the live mailbox. Same question, different reach.
It reads the wrong address book on import.
Contact import reads the ORGANIZATION's default connected account, which may not be yours. Check Integrations → Connected Apps.
A tool you expected is missing.
Tools are gated by product entitlement AND your role. If the feature is greyed out in the sidebar too, it is the plan; if the sidebar shows it and the agent will not, it is the role.
