Roles and permissions

Control what each person on your team can see and do.

Permissions are grouped into roles, and people can hold more than one. What someone can do is everything their roles grant, combined.

Start from a template. The built-ins — Sales Rep, Sales Manager, Support Agent, Marketing Manager, Operations Analyst, Content Creator, Viewer, Admin — encode sensible sets and seed their own default CRM views.

How to

  1. 1

Create a role from the closest template.

  2. 2

Narrow it if you need to.

  3. 3

    Assign it to people.

  4. 4

Check what someone actually holds afterwards, rather than assuming.

If something goes wrong

Someone lost a whole product after a role edit.
Adding any product gate to a role turns it into an allow-list — from then on that role sees only the products explicitly granted. Grant the rest back, or remove every product gate to restore the default.
A system role cannot be edited.
System roles are shared and immutable. Copy one into a custom role instead.
Someone can see a nav entry but Smooth Operator says it cannot help with it.
The nav gate and the tool gate read the same permissions, so this means the specific read permission is missing while the product gate is present.
