Email signatures
Append a consistent signature to outbound mail on its way out of Google Workspace — no software on anyone’s machine.

Signatures are applied in transit, not in the mail client. That is why they show up on phones and on mail sent from anywhere, and why nobody has to paste anything into Gmail settings.
Smoo renders each person’s signature once, when you activate, using their Workforce record. At send time it only splices in the finished text.
How to
- 1
Build a signature in Content Builder as an email template.
Use merge fields like {{full_name}}, {{title}} and {{email}}. Anything in an employee’s metadata works too, so {{cell_phone}} needs no setup.
- 2
In Workforce → Signatures, set your sending domain and pick the template, then Save.
- 3
Follow the Google Workspace setup steps shown on that tab.
Scope the routing rule to one test user first and send a message to an outside address before turning it on for everyone.
- 4
Click Render & activate.
If something goes wrong
- A new hire has no signature.
- Rendering happens when you activate, not continuously. Click Re-render after directory changes — that is also how a changed job title reaches the signature.
- Someone was skipped.
- The render reports who and why. The usual causes are no email address, an address outside the configured domain, or an inactive employee.
- Signatures stopped appearing entirely.
- Check the tab still shows Injecting. If mail is flowing but unsigned, that is the safe failure mode working as designed — delivery is never held up for a signature.
