Brains
Internal agents with their own documents and access rules, reached from Claude, ChatGPT or Codex.
A brain is an internal agent for your team. It holds documents in collections, and each collection has its own access list, so the Sales team can edit sales material while everyone else only reads it.
Each brain has its own connector URL. People sign in with their own Smoo account, so the brain only shows them what they have access to. Every update to a document is a new version, and only the current version is searchable.
How to

Create a brain (org admins).
Its connector name becomes part of the URL and cannot be changed later.

Add collections, then open Manage access on each one.
Give a person, team, role or everyone Read, Contribute or Curate. Access on the whole brain reaches every collection.

Upload documents into a collection.
They show as Indexing until they are searchable.

Write the instructions every client receives when it connects.

Open Connect and follow the steps for Claude, Claude Code, ChatGPT or Codex.
If something goes wrong
- There is no drop zone on a collection.
- Adding documents needs Contribute access on that collection. Ask a manager of the brain.
- A collection will not delete.
- It still holds documents. Archive them first.
- Someone connected but cannot see a collection.
- They have no access to it. Grant them Read on that collection, or on the whole brain.
